    Conclave Planning Team and Committee Roles

    The Conclave Planning Team consists of the Conclave Chair, Conclave Vice Chiefs (CVC), Assistant Conclave Vice Chiefs (ACVC), Advisers, and Associate Advisers. The Conclave Chair is the section chief and is the lead in planning and executing conclave. CVCs lead an entire conclave committee in planning and executing their respective responsibilities. ACVCs are youth who serve on a conclave committee in support of the CVC. Advisers and Associate Advisers are appointed by the Section Adviser and serve a specific committee.     Activities: Responsible for the majority of the program during the Saturday afternoon of conclave. In the past, such activities have included the car smash, virtual reality, field games, mario kart tournament, board games, 9 square, gaga ball, inflatables, etc.

    Awards & Special Guests: Responsible for coordinating the invitation and travel of any special guests within scouting attending conclave. Since these special guests are getting their conclave paid for, this committee should also work with the training and other committees to make sure that all special guests are helping in any way that they can. This committee will work in conjunction with the special events committee when reaching out to other types of special guests such as war heroes. All awards/recognitions (specifically RD Dunkin and staff thank you’s) are overseen by this committee.

    Host Lodge: Responsible for collecting talent and donations from the host lodge as well as planning facility use at the conclave site. During conclave, this committee is responsible for providing any manpower needed during the event, such as moving picnic tables, staffing activities, cook crew, etc.

    Promotions: A subset of the year-round communications team, this committee is responsible for working with lodges to ensure they have all the necessary materials to effectively promote conclave and maximize attendance. During conclave, this committee is responsible for taking pictures throughout the day and providing them to the shows committee for their event recap slideshow (if they choose to make one).

    Publications: Primary responsibility is creating the conclave booklet. Working with other committees to see what should be included in this booklet is required. Other responsibilities include posting schedules of the day throughout the facility, newsletters (such as section officer candidates edition), and staffing the information booth throughout the day.
    Shows: Responsible for planning and running the Friday evening and Saturday evening shows. Typically, for Saturday evening an outside source of entertainment is hired. Will work with the Awards committee for recognitions during the Saturday night show. Lodge Chief competitions have become a tradition for Friday night, amongst other aspects of the show.

    Special Events: Responsible for programs such as the patch auction, grand ho-dag, slime/pie the officers, VIA luncheon, and more. This committee will work in conjunction with the special guests committee when reaching out to special guests such as war heroes This committee also is responsible for coordinating some aspect of charity/service into the event. In years past this has been a canned food drive for a local food pantry.

    Trading Post: A subset of the year-round training committee, this committee is responsible for ordering and promoting items for the section trading post at section conclave. At conclave, this committee is responsible for promoting trading post items and staffing the trading post. Leading up to conclave, this committee should work with the promotions committee to ensure that new items are promoted to potential attendees.

    Training: Responsible for the majority of the program during the Saturday morning of conclave. These trainings should be of interest to a variety of Arrowmen, those with leadership positions, and those without. This committee is also responsible for the keynote address. If a special guest is wanted to give this presentation, this committee must coordinate such a request with the Special Guests committee.
